Most of them use AI tools you never approved.
In a survey for Okta, 90% of executives were confident they could see which AI tools their staff used, while 52% of office workers said they used tools their employer had never approved, and 16% had given an AI tool their login details. Give staff a safe way to use AI rather than a ban they will work around.

Never lend a login or a work profile.
An online course sold in 2026 teaches sales agencies to rent people’s LinkedIn profiles for about $100 a month and send messages from them, so strangers appear to work for your company and write in your employee’s name. Add one line to your rules: never lend your work email, AI account or professional profile, even for money. The staff AI card now says it.
What they cannot do.
- Employment and data protection law come first. These tools make mistakes less likely. Your policies and your data protection lead decide what is allowed.
- A description can identify someone without a name. “The only night-shift supervisor in the Leeds office” still points to one person. Read what is left before you paste it.
- Blacking out a copy does not delete the original. Keep only the copies you need, for as long as you need them.
- Health information needs extra care. Sick notes and occupational health reports are among the most sensitive records you hold.
